A college-hosted workshop needs an academic plan and an operational plan. The first concerns what participants will learn and whether they are ready. The second concerns dates, facilities, responsibilities and written confirmation.
VFA's January 2027 Shingo Sato page is an institutional hosting enquiry route. It does not establish that your campus has a confirmed stop or that a particular date remains available.
Define the learning purpose
Identify the participants and the work you want the workshop to support. Is the group made up of students, faculty, experienced makers or a mixture?
Describe their current sewing, pattern and fitting skills. A specialist exercise can become difficult if the group has not developed the assumed foundations.
Ask the coordinator which format and module are appropriate. Do not choose only from the visual appeal of a finished sample.
Nominate the people who must decide
An institute may need an academic lead, a lab coordinator and a person authorised to approve the cost and terms. Establish those roles before requesting a final proposal.
Keep one coordinator responsible for collecting questions and distributing the agreed brief. Multiple partial conversations can create different assumptions about materials, timing and inclusions.
A request for details is not a booking. Track the proposal, internal approval and confirmed agreement as separate stages.
Check the format and time
Recent VFA project material describes one- or two-day institutional formats, with approximately six to eight workshop hours per day. Confirm the current plan and its fit with your academic calendar.
Allow time for setup, introductions, demonstrations, practical work and closing arrangements. Ask what must be prepared before the teaching starts.
Do not announce an exact tour date or use a countdown until the parties have agreed it.
Review the lab rather than guessing capacity
Discuss the sewing machines, working surfaces, dress forms, pressing facilities, power and material-handling space needed for the chosen exercise.
Capacity depends on the actual work and equipment. A generic statement that a hall can seat a certain number does not establish practical workshop capacity.
Send an accurate facility summary if requested. Photographs should focus on the space and equipment, without unnecessary student information.
Separate the cost responsibilities
The recent VFA brief lists an institutional teaching fee of US$750 per day, or US$1,500 for two days, with flights and accommodation for Shingo Sato and Vidya additional. These are working offer terms to reconfirm in the current written proposal.
Clarify payment currency and method, timing, any applicable charges, travel routing, accommodation, local transport, materials and cancellation/change arrangements. Do not convert the dollar figure using an invented exchange rate.
A participant certificate, faculty support or material item should be treated as included only when the final brief says so.
Use a confirmation checklist
| Item | Confirmation needed |
|---|---|
| Academic scope | Module, participant level and intended outputs |
| Date and location | Exact campus venue and teaching schedule |
| Teaching roles | Named instructor and coordination support |
| Facilities | Equipment, setup and realistic practical capacity |
| Materials | Institute, participant and coordinator responsibilities |
| Commercial terms | Fee, travel, accommodation and payment conditions |
| Documentation | Photography, teaching-material use and certificate wording |
| Changes | Agreed process for rescheduling or cancellation |
| Publicity | Approved names, images, logos and announcement wording |
Keep the final version accessible to everyone implementing it. A previous year's brochure should not supply current terms.
Plan the announcement after confirmation
Use the agreed title, date, participant requirements and contact route. Distinguish participation certificates from qualifications or instructor authorisation.
If the institute publishes an event page, an accurate link to the official VFA hosting brief can help readers verify the coordination context. Permission and relevance matter; the page should serve the event.
After the workshop, a factual report can document what took place, with appropriate participant and image permissions. Do not pre-write it as proof of an event that has not happened.
Start the discussion
Read the institutional tour page and TR background guide, then contact VFA at vidyafashionacademy@gmail.com or through the page's enquiry route.
VFA coordinates from its Jayanagar studio. That Maps location is the academy's base, not the venue of every institutional workshop across India.
